Committee  Position  Descriptions

President 
The President is the person with overall responsibility for St John’s Netball Club administration.
 
The President should:
  • chair committee meetings and the AGM
  • represent the Club at external meetings, including EDNA meetings or ensure an appropriate proxy attends
  • perform a role in resolving disputes in accordance with the Complaints Handling Policy
  • identify and liaise with potential sponsors re sponsorship opportunities
  • have oversight of the registration and team selection processes
  • ensure the Club is operated in accordance with any applicable legislation, adopted Club Policy and/or resolution of members.
Vice-President 
The Vice-President assists the President in performing his/her duties.
 
The Vice-President should:
  • chair committee meetings and the AGM if the President is not available
  • where the President is not available, represent the Club at external meetings, including EDNA meetings or ensure an appropriate proxy attends
  • perform a role in resolving disputes in accordance with the Complaints Handling Policy
  • assist the President in ensuring the Club is operated in accordance with any applicable legislation, adopted Club Policy and/or resolution of members
Secretary - VACANT
The Secretary is the chief administration officer of St John’s Netball Club.
 
The Secretary should:
  • Prepare the agenda for committee meetings in consultation with the President and send adequate notice of meetings (including determining venues)
  • Call for and receive nominations for committee positions prior to the AGM or to fill casual vacancies
  • Take the minutes of meetings and circulate minutes post each meeting
  • Respond to Club correspondence directed to the Secretary
  • Send out TeamApp messages as required
  • Maintain files of required documentation (e.g the constitution, register of members etc) through Google Drive
Perform any other obligations of a secretary of an incorporated association required under legislation or the rules of St Johns
​Coaching Coordinator
 
The Coaching Coordinator ensures the successful management of the coaches and provides coach mentoring and training. 
 
The Coaching Coordinator should:
  • be part of the Registration Sub-Committee to determine team composition
  • liaise with coaches regarding training and game day availabilities
  • Provide training opportunities for coaches to improve their skills
  • Report to the Committee on coaching related issues
Mentor coaches in skills development and identify possible new coaches
Trophy Officer
 
The Trophy Officer has responsibility for oversight of the best and fairest counts and organising trophies for players at the end of the season.
 
The Trophy Officer should:
  • maintain the best and fairest spreadsheet and ensure that best and fairest counts are lodged at the end of each game, following up coaches for counts not lodged
  • liaise with team managers/coaches for the team awards at the end of the season
  • order and oversee the delivery of trophies for the end of season function/s
Treasurer
 
The Treasurer is the chief financial management officer for the St John’s Netball Club.

The Treasurer should:
  • prepare a budget and monitor it carefully
  • send out invoices and pay accounts as authorised
  • ensure all financial records of the Club are maintained as required
  • keep a proper record of all payments and monies received and monies paid out
  • give Treasurer’s report at Committee meetings
  • coordinate preparation and certification of financial statements for the purposes of the AGM
perform any other obligations of a treasurer of an incorporated association required under legislation or the rules of St Johns
​Uniform Officer - VACANT
​

The Uniform Officer oversees the stock management of the St John’s netball club uniform.
 The Uniform Officer should:
  • Ensure adequate stock of uniform (dresses and shorts) is held
  • Order hoodies, coach’s shirts and other items not held in stock on an annual or as needs basis
  • Place orders with our suppliers and monitor order with delivery of stock
  • Monitor and ensure payment of uniform against purchase and liaise with players regarding uniform pick up
  • Report to the Committee on any uniform related matters
Undertake uniform stocktakes at least twice a year
​Digital Coordinator - VACANT
 
The Digital Coordinator is responsible for maintaining St John’s digital presence and dealing with IT related issues.
 
The Digital Coordinator should:
  • liaise with the Website Coordinator regarding website issues
  • resolve issues with Revolutionise, gmail and other IT platforms/software used by St John’s
  • assist the Secretary in relation to the upkeep of documents held on Google Drive
oversee Facebook and other social media posts
​Website Coordinator - VACANT
 
The Website Coordinator is responsible for maintaining St John’s website.
 
The Website Coordinator should maintain and update St John’s website including promotion of upcoming events, processes and policies.
​Equipment Officer - VACANT
 
The Equipment Officer oversees all equipment required for the Club.
 
The Equipment Officer should:
  • prior to the commencement of the season, liaise with team managers and coaches to ensure each team has all required equipment (eg netballs, training bags, first aid kits)
in conjunction with the Coaching Coordinator, order required equipment
